Job Overview:

The Special Order Specialist Lead provides training and support to the Special Order colleague team.  This role provides support to the merchant and selling teams and acts as a liaison with our vendor contacts, while delivering a “best in class” customer experience.

This Lead’s primary responsibilities are to distribute and help manage the daily special order office functions.  The Lead trains new Special Order colleagues on their daily responsibilities and helps support colleagues as questions and troubleshoot issues.  The Lead must be approachable and able to assist colleagues in the area and partners via phone and email.  This person should be able to problem solve and prioritize work/tasks needed to be done.  This role creates accurate reporting on key performance metrics and activities of the area.  This role also helps assist in daily exception reports and queues dealing with problem shipments from vendors and take action to resolve them within a specified time period.  The Lead works effectively with appropriate personnel in buying offices and/or vendors in order to correct the shipment problems dealing with direct from vendor to consumer shipments placed on Macys.com or our stores.  Perform other duties as assigned.

Essential Functions: 

  • Pull and format daily orders, reports, and distribute to the special order team. 
  • Train and onboard new colleagues.  Follow-up training with individual colleagues as needed.  Create and update training material and procedures as needed.
  • Daily monitoring and updating of processes, pending orders; revision of customer order ship dates and purchase order cancel dates within the various Macy’s order management systems.
  • Identify problems and be able to respond or escalate as needed. 
  • Responsible for setup and auditing of 3rd party reporting to ensure accuracy of vendor communications.
  • Daily monitoring of various customer service queues/work with vendor partners to coordinate resolution of customer issues in a timely and professional manner.
  • Work effectively with merchants and vendors on various retail tasks.
  • Gain a solid understanding of Reservation, PO, and Receiving systems in order to perform daily tasks.
  • Research and resolve exceptions from reports and email appropriate business partners in a timely manner.
  • Communicate with Buyers, Planners, Vendors and Warehouse Personnel to resolve issues.  Follow up as needed.
  • Perform maintenance to correct exceptions are timely and accurately.
  • Log shipment issues, action taken to resolve any pending orders.
  • Regular, dependable attendance & punctuality.



  • Associate’s Degree or greater preferred.

Communication Skills:  

  • Good written and verbal communication skills. 
  • Ability to read, write, and interpret instructional documents such as reports and procedure manuals. 
  • Ability to clearly explain and train processes.

Reasoning Ability: 

  • Must be able to think critically to solve problems and be effective in a group environment.

Physical Demands: 

  • This position involves extended periods of sitting and the extensive use of computer and office equipment.
  • May involve stooping, kneeling, or crouching. Involves close vision, color vision, depth perception, and focus adjustment. 

Other Skills:  

  • Must have intermediate skills in Excel and Outlook.

Work Hours:  

  • Full time.
